GradHiring

Have you been offered and accepted a job with Georgia Tech? If so you must complete HR processes prior to starting your position. GradHiring allows new graduate students working for Georgia Tech (GRAs, GTAs, and GAs) to complete their onboarding process all at once. This process will trigger information to Banner to post your fee waiver and set-up your direct deposit to receive your paycheck. If you fail to properly onboard, any tuition waiver will not be applied.

Please note:GradHiring will look very different this year. Due to OneUSG Connect and the new Equifiax Compliance Center for remote Student Hire Packets, along with COVID-19, the in-person event will be significantly smaller than previous years.

Before GradHiring  U.S. Citizens

You must complete your Equifax Compliance Center Student Hire Packet prior to attending GradHiring. 

Step 1: After your department hires you, open your emails from the Equifax Compliance Center and proceed with completing Section 1 of your Student Hire Packet. 

  • You will receive two emails: one will contain the link to the Student Hire Packet and the second will contain your password 

  • These emails will come from DONOTREPLY@Equifax.com. If you cannot find the email, check your spam folder. 

  • You will receive access to a training module on how to properly complete your Student Hire Packet. This will be available through Canvas as a component of your Graduate Student Orientation. 

  • The Student Hire Packet also contains your Section 2 documents: I-9 Form and Security Questionnaire. Do not sign your Security Questionnaire in advance of GradHiring, as it will need to be signed in front of a notary.  

  • For any questions regarding the hiring paperwork, submit a ticket in Service Now.  

Step 2: To complete Section 2 of your Student Hire Packet, print out your I-9 Form and Security Questionnaire. Bring both items, along with your ID to GradHiring.  

  • Print single-sided, as these will need to be scanned. 

  • To be legally hired, you must provide original (no photocopies) and unexpired identification. Click here to see what we accept

Before GradHiring  Foreign Nationals

You must complete your Equifax Compliance Center Student Hire Packet, as well as GLACIER paperwork, prior to attending GradHiring. You will also need to make copies of your immigration documents.  

Step 1: Complete International Student Check-In online with Georgia Tech Office of International Education (OIE). Click here.

  • All foreign nationals working at Georgia Tech must utilize GLACIER. 

  • Training on how to complete your GLACIER documents will be available as part of your Student Hire training in Canvas.  

  • Once you have arrived in the U.S., please log in as instructed in the email and follow the directions. 

  • Upload completed documents to iStart prior to GradHiring. 

Step 4: Social Security Number Card 

Step 5: To complete Part 2 of your Student Hire Packet, print out your I-9 Form and Security Questionnaire. Bring both items, along with your ID to GradHiring.

Before GradHiring  Rehires

Before GradHiring — Rehires 

A student who has been previously employed and/or paid by Georgia Tech within the past two calendar years will need to take the following steps and is not required to attend GradHiring. 

Step 1: Visit OneUSG Connect to verify the following

Step 2: Certify Compliance 

Certify your understanding of Ethics, Personal Services Reporting, and Conflict of Interest online. The purpose of Conflict of Interest (COI) & External Activities Reporting is to ensure that employees have reported all of their external activities and financial relationships in order for the Institute to review activities for compliance with Georgia Tech policies. This report helps the COI Management Office and/or GTRI's Ethics and Compliance Office determine an appropriate management plan if a potential conflict exists 

All Georgia Tech employees must complete this certification at least once per year. 

Please Note: A student who has been previously employed and/or paid by Georgia Tech but has not worked within the past 2 calendar years must complete the Equifax Compliance Center Student Hire Packet and attend GradHiring to complete Part 2 (I-9 and Security Questionnaire). If a student is a Foreign National rehire whose work authorization document (I-20/DS-2019) has been extended or renewed, please schedule an appointment and visit the GTHR.

After GradHiring

Complete the following activities after the GradHiring event.

Step 3: Update Your SSN with GTHR (Foreign Nationals Only)

 
When you receive your Social Security card: 

  • Log into your GLACIER account at www.online-tax.net 

  • Add your SSN, double check all data, print and sign your Tax Summary Report (and possibly tax treaty forms) 

  • Bring the forms and original SSN card to the Office of Human Resources 

Select Update SSN to schedule an appointment with GTHR.
